Press Release

Lessons from 2007 organisation

  • Venue should be set early, at the end of LGM or not more than 1 month after. Deadline: JUNE 1st 2007. DONE
  • Dates should also be established really early in the process, after checking agenda of other events.
  • We need a welcoming uni, where it will be also possible to stay at low cost. We have many students coming at LGM.

Update

Discussions lead to the conclusion that LGM 2008 has to be a 4 day event, in view of the tight schedule in 2007. The conference will be held during the first or second weekend in May, beginning on a thursday.

Other things to consider

  • Sponsors should be worked on and tightened with written contract in the early stage. We have to secure money at least 6 months before the event. Otherwise money becomes an issue and it takes up too much time. We have to solve this for the benefits of the following LGMs. -> Remains to be worked out
  • Lots of countries ask for visas. It can take up to 2-3 months. Organisers must be ready to send official invitation letters when required by the authorities. -> Will be true each year. We have to comply with the national exigencies. We have no control over this.
  • Think of putting together a non-profit association for LGM - Europe (see if this is possible). This is useful to handle the money, issue invoices, pay people and get it out of the hands of individuals. Or use a foundation, such as GNOME Foundation.
  • Website should get lots of attention by a dedicated team right from the start. -> DONE
  • Press release list should be consolidated and available as a text file. A database is not a bad idea. -> Remains to be done in 2008.
  • Sponsors list and contacts, including emails and phone numbers should be available too. -> We now have a list but it is undisclosed for privacy reasons. Available to organisers.
  • Suggested budget: 30-40K (or more if we're going to Australia)
  • We should have both a worldwide sponsorship and a local sponsorship. This is important to gain attention from local people in the host city. -> DONE
  • Each participating team should have a contact person dedicated to communications with LGM organisation. This person takes care of the team members needs for travelling, and any other relevant topics regarding the organisation. -> DONE
  • Think of publishing a Special LGM Brochure for next year too. This can be all sponsored by a local printer.
  • Local artists should start developing a logo for 2008 as soon as possible. -> DONE
